You’re Doing Paperwork Every Evening
Last updated:
The driving stops and the second job starts: BOLs to file, rate confirmations to read, invoices to raise, PODs to chase. It’s the part of the business nobody budgeted hours for, and it’s usually the reason cash arrives later than it should.
Where the hours actually go
It’s rarely one big task. It’s a lot of small ones that each take four minutes and can’t be batched:
- Finding which load a photographed BOL belongs to
- Reading a rate confirmation properly enough to catch a discrepancy
- Re-keying ratecon terms into the TMS
- Chasing a POD a driver forgot to send
- Building an invoice from three documents in two systems
- Working out whether detention on Tuesday was ever claimed
None of it is hard. All of it has to happen, and it happens after the work that earns.
The real cost isn’t the hours
Cash arrives later. Most brokers won’t pay without a signed POD. Every day between delivery and invoice is a day of your money in their account.
Money gets left behind. Detention, lumper reimbursement and tarp pay are all agreed verbally and claimed only if someone remembers. They’re small individually and substantial across a year.
Mistakes reach invoices. A number retyped at 10pm is a number that can be retyped wrong, and nobody catches it until a broker queries it.
What to do this week
- Get PODs captured at the dock, not later. A photo taken at delivery beats one taken from a folder on Friday. This single change moves invoicing earlier more than anything else.
- Make one list of unbilled loads. Most carriers doing evening paperwork can’t say how many loads are delivered but not invoiced. Find the number first.
- Check whether detention was claimable on any of them. If terms were in the rate confirmation and the truck sat, the claim may still be live.
- Stop re-keying anything twice. Anywhere the same number is entered in two systems is a place to fix first.
What’s safe to automate, and what isn’t
Safe: document classification and filing, extracting fields from BOLs and PODs, matching documents to loads, parsing rate confirmations, flagging missing paperwork, preparing invoices from agreed terms.
Keep a person on: deciding whether an unusual clause is acceptable, disputing a broker’s deduction, anything where the answer is a judgement rather than a lookup.
The dividing line is whether the task has a right answer. Filing does. Negotiating a claim doesn’t.
Where Hey Bubba! fits
Hey Bubba! is an AI back-office automation platform for fleets. Documents arriving from a driver’s phone, an email or a broker portal are classified, their fields extracted, and the document indexed to the right load. Rate confirmations are parsed and checked against what was negotiated. Detention terms and accessorials attach to the load, so they reach the invoice instead of being forgotten.
Frequently asked questions
Same day is achievable when the POD is captured at the dock and validated automatically. Multi-day delays are almost always a paperwork problem, not a billing one.
Printed and typed fields extract reliably. Handwritten annotations are harder; those should be flagged for review rather than guessed at.
Usually a signed POD, sometimes with the rate confirmation and any accessorial receipts such as lumper fees.
Individually no, which is why they go unclaimed. Across a year they add up to real money, which is the argument for capturing them automatically rather than deciding case by case.
