The Broker Won’t Answer

Last updated:

What silence means depends entirely on where you are in the load. Before booking it’s usually nothing. After booking it’s a problem. After delivery it’s a warning.

Before booking

Almost always means the load is covered and nobody updated the posting. Brokers are working several loads at once and a stale posting isn’t a snub.

Call once, email once, move on. Chasing a load that’s already gone costs you the one that’s still available.

After booking, before the rate confirmation

This is the one to take seriously. Don’t dispatch a driver without a signed rate confirmation. A verbal booking with no paperwork is not a load, and if the broker goes quiet at this stage you have no agreement to enforce.

Give it a couple of hours, then escalate to their office line rather than the individual. If there’s still nothing by the time you’d need to roll, treat the load as not booked and find another.

After booking, in transit

Usually means they’re busy, but you still need someone for appointment changes and problems. Get an after-hours number and a backup contact at booking, before you need them.

Keep sending updates even when nobody replies. A documented trail of you communicating matters if the load goes wrong.

After delivery

Silence here is a different category. Confirm the paperwork went to the right place (AP is often not the person who booked the load), then work the payment process rather than the individual. What to do when payment is late.

If the company is unreachable entirely, check whether they had valid authority. More on that.

Protecting yourself

  • Rate confirmation before dispatch, every time
  • An after-hours contact captured at booking
  • Communication in writing, even when they only call
  • Note which brokers go quiet; it’s usually a pattern, and it belongs in your rate for them
