Cancelling costs you a relationship, not usually money, and how much depends almost entirely on timing. A broker who finds out at 7am can re-cover the load. One who finds out when the truck doesn’t show has a customer problem, and they’ll remember which kind you were.
Call now, not when you’ve solved it
The instinct is to fix the problem first and call once you have a plan. That’s backwards. The broker’s constraint is time to re-cover, and every hour you spend problem-solving is an hour they don’t get.

Check the rate confirmation first
Some ratecons carry cancellation terms: a fee or a notice period. Rare on spot freight, more common on dedicated or contracted work. Know what you’re agreeing to before you make the call, so it isn’t raised at you mid-conversation.
Say why, briefly
“My truck broke down” and “I found a better load” land very differently, and brokers can usually tell which one it is. Legitimate reasons (breakdown, HOS, a previous shipper holding you six hours) are understood, because they happen to everyone.
What isn’t understood is repeatedly cancelling for better freight. That gets you deprioritised quietly, and you won’t be told.
Offer something if you can
Another truck in your fleet, a realistic later window, or a carrier you trust. It costs you nothing and it changes the conversation from a problem into a solved problem.
If it’s the broker’s change that caused it
Different situation. A load materially changed after booking isn’t the load you agreed to, and declining it is reasonable. Say that plainly rather than framing it as a cancellation. More on that.

Rarely a direct charge on spot freight. What it costs is call order: brokers keep an informal list of who they ring first, and cancellations move you down it. That’s invisible until you notice the good loads stopped being offered.

- Check hours against the appointment before booking, not after
- Don’t book beyond where you can realistically see
- Confirm facility details at booking: FCFS and long waits cause downstream cancellations
