What is a trip sheet?

A trip sheet is a driver's record of a trip: the dates, the loads, the miles driven, the fuel bought and the expenses along the way. Carriers use it for driver settlements and to keep the mileage and fuel records behind tax reporting such as IFTA.

IFTA reporting needs miles and fuel by jurisdiction, so recording the miles for each state and every fuel purchase as you go makes the quarterly return much easier. A trip sheet does not replace your ELD, which records hours of service. It records the trip details and expenses.

Trip sheet questions

What is a trip sheet?

A trip sheet is a driver's record of a trip, including dates, stops, miles, fuel purchases and expenses. It is used for settlements and as a source for mileage and fuel records.

Is a trip sheet required?

There is no single required form. What matters is that you keep accurate records of your trips, miles and fuel for your own settlements and tax reporting. A trip sheet is a simple way to do that.

How does a trip sheet help with IFTA?

IFTA returns need the miles you drove and the fuel you bought in each jurisdiction. Logging miles by state and every fuel purchase on the trip sheet gives you the figures you need at quarter end.

What should I record on a trip sheet?

The driver, truck and trailer, trip dates and odometer readings, each leg with its miles and load number, every fuel purchase with the city, state, gallons and amount, and other trip expenses.

Does a trip sheet replace my ELD?

No. Your ELD records hours of service. A trip sheet records trip details such as miles, fuel and expenses, and the two serve different purposes.

Can I download and print the trip sheet?

Yes. Fill in the template, sign it, and download it as a PDF or print it. You do not need an account, and there is no watermark.
