What is a rate confirmation?

A rate confirmation, often called a rate con, is the document a broker sends a carrier to confirm the details of a load before it moves: where to pick up and deliver, when, what equipment is needed and the agreed rate. Both sides usually sign it, and it is the reference for payment afterwards.

Read it before you sign. Rate confirmations can include terms on detention, accessorial charges and how long payment takes. This template is a plain layout for recording the load and the agreed numbers, so add or attach any terms your broker or carrier agreement requires.

Rate confirmation questions

What is a rate confirmation?

A rate confirmation is the document that confirms the details of a load between a broker and a carrier, including pickup and delivery, equipment, the agreed rate and payment terms. Carriers and brokers use it as the reference for the load and for the invoice that follows.

Is a rate confirmation a contract?

It records the terms agreed for a specific load, and many brokers treat it as the agreement for that load alongside their carrier agreement. If you are unsure how it applies to you, ask your broker or a legal adviser before you sign.

What should I check before signing a rate confirmation?

Check the rate and any accessorial charges, the pickup and delivery dates and addresses, the equipment type, the payment terms and any rules on detention, layovers or check calls. Ask for a correction before you sign if something does not match what you agreed.

What information goes on a rate confirmation?

The load number, the broker and carrier details, pickup and delivery locations and times, the freight and equipment, the rate and charges, the payment terms and signatures from both parties.

Can I sign and download the rate confirmation here?

Yes. Fill in the template, add your signature and date, and download the file as a PDF. You do not need an account, and there is no watermark.

How long should I keep a rate confirmation?

Keep a signed copy with the bill of lading and proof of delivery for each load. Having all three together makes invoicing and any later question about the load easier to settle.
